The Best AI Scheduling App Makes You Do the Hard Work
It’s hard not to feel scatterbrained in today’s work environment.
Tasks pile up in inboxes, lurk in chat messages, ping you at all hours with notifications. Personal calendars and to-do lists vie with work calendars and project management apps for priority. Making sense of it all can be a full-time job — one that robots are designed to handle well.
In 2025, the robots were still learning the ropes. After I tested nine AI scheduling apps, my favorite was the one with the least AI. “You’re better off scheduling your tasks yourself,” I concluded.
That is not the case today.
Currently, AI chat paired with automated tools can schedule tasks around the events in your calendar seamlessly. They automatically juggle your agenda to prevent overbooking or neglecting critical tasks — like moving that meeting when you schedule a medical appointment. And via chat, they can add or edit tasks in bulk, summarize your agenda for the day, and clear your calendar if something comes up.
They’re smart enough to know what you need to do. Yet they have limits: They’re still not human enough to put tasks in the order that’s right for you, or to use context to estimate the appropriate amount of time for each one.
After testing 16 AI scheduling apps over the past two years, we still recommend Sunsama as our favorite AI scheduling app. But if it’s too spendy, Google Gemini works capably to make your schedule for free.
